Program Specialist: Member Programs, Technology and Marketing (DMP)

SUMMARY OF FUNCTIONS:
Perform various administrative functions related to member programs and technology. Assists Director of Member Programs, Technology, and Marketing (DMP).
MAJOR DUTIES AND RESPONSIBILITIES:
Assist DMP with efforts to increase membership.
Answer member questions and assist with member accounts.
Conferences and Continuing Education
Co-ordination of meeting and CE conferences as follows:
Contact and coordinate conference calls for various planning committees.
Maintain organization of meeting minutes.
Assist DMP in contacting speakers and sponsors, maintain files on each, speaker letters and thank you letters as well as follow up with sponsor for the next year’s conference.
Contact potential exhibitors and provide information for various conferences. Develop files for each exhibitor and update DMP.
Work with DMP on development and distribution of brochures, registration forms and flyers for various offerings.
Attend all conferences to coordinate last minute details and emergency situations. Welcome all participants, sponsors, exhibitors and special guests.
Provide support during online meetings, webinars, and virtual conferences.
Organize major meetings including distribution of materials, registration processing, badges, rosters, certificates, letters and billing.
Answer questions regarding approval to teach CEU courses.
Review CE approval forms to see if they fit the qualifications.
Mail out CE teaching material such as certificates, sign in, and evaluation forms.
Assist DMS by maintaining current listing of participants.
Provide requested information to participants.

Refer all advertisers to Arthur Davis Publishing.
Keep staff informed of deadlines for submission of articles.
Coordinate registration forms and information for upcoming events to be published.
Assist DMS as necessary, primarily conference info and updates.
Public Relations and Marketing
Assist and support DMP in any way deemed necessary to develop membership incentives for retention and recruitment.
Maintain good relations with the membership and public at all times.
Member Technology Services
Assist with maintain association website
Update custom pages with direction from DMP
Post press releases and news alerts to website as requested.
Keep online calendar updated with upcoming events.
Setup event registrations on website.
Maintain membership database in Association Management Software
Update member files in the AMS as needed.
Assist members with troubleshooting any account-related issues.
Pull membership reports as requested by the DMP or ED.
Promote the use of the online community forum.
Post engagement activities on the online forum.
Assist members with accessing the online forum technology.
Utilize legislative engagement software
Post calls to action and legislative alerts as directed.
Maintain bill tracking tool with current legislation.
Check E-mail daily and respond as necessary.
Perform other related duties as required.
Reports to the Director of Member Programs, Technology, and Marketing and Accountable to ED.
Assists other staff members as appropriate.
Quality of Work:
Extent to which work produced meets requirements of accuracy, completeness, thoroughness and neatness.
Accuracy of communications for DMS, publication including layout and maintains CE records.
Extent to which work is performed within specified deadlines.
Assists in increasing contact with exhibitors and potential exhibitors.
Individual Productivity/Use of Time:
Extent to which employee is a “self starter” volume of work regularly produced.
Takes advantage of opportunities for new revenue sources, including exhibitors, sponsors, and potential advertisers.
Maintain communication of DMS and coordinates approval process for use of FNA provider number.
Assists in compiling procedural manuals, proofreading, typing, printing, and distribution of same.

EXPERIENCE AND/OR EDUCATIONAL REQUIREMENTS:
Experience: Three to four years’ previous related experience preferred.
Interpersonal Skills: Communicates with committees and leadership groups as well as outside exhibitors and groups/hotels.
Essential Technical/Motor Skills: Precise finger dexterity and eye-hand coordination.
Essential Mental Abilities: Knowledgeable and competent to perform essential functions.
Essential Sensory Requirements: Ability to visually and audibly perform all essential functions.
Essential Physical Requirements: Ability to sit for extended periods of time. Frequent walking, sitting, standing, stooping and reaching.

Other: Assume the responsibility for professional growth and development. Must be available to perform errands.
