The BD and Marketing Coordinator is the Business Development Department’s primary resource supporting the Events Manager and other BD and marketing personnel in the execution of firm events, conferences, and the production and delivery of marketing collateral for events, pitches and proposals. This position is at the center the department’s key projects and exposes the individual to many aspects of the firm; this position will interface with multiple internal stakeholder groups—including legal assistants, lawyers and other staff members; IT and A/V teams; and marketing colleagues—as well as external vendors and client participants. Successful candidates will have a minimum of 3 years related experience; creativity and a campaign thinking mindset; strong project management skills and event planning experience; and experience engaging directly with senior executives. In addition, candidates should be able to effectively manage multiple production calendars and competing priorities in a fast-paced environment.
Specific responsibilities will include:
Assist Events Manager and industry team leads with event and conference logistics (e.g. registrations, invitations, assembling materials, producing attendee and follow-up lists).
Provide onsite support including setup, registration, and take-down for firm events.
Produce nametags and attendee check-in lists for firm events.
Guide the selection of, ordering, packing and delivery of SWAG and handouts for various events as requested.
Working with Events Manager, oversee select events as assigned.
Keep inventory of marketing collateral including pre-printed covers, notepads and cards, tabs and stationery used in producing marketing materials; manage ordering to ensure adequate stock is on hand.
Along with the marketing assistant, monitor and ensure availability of appropriate promotional items.
Serve as key point of contact for BD and marketing-related Intranet (Wallerville) updates.
Other duties as assigned.
Minimum 3 years’ experience in a corporate or professional services environment
Experience using Microsoft Office, Publisher, and Adobe Acrobat
Skilled in InterAction (windows and web clients), Hubspot and/or other CRM platforms
Self-motivated, effective team member, with strong interpersonal skills and ability to adapt
Strong organizational skills, able to prioritize multiple projects and meet tight deadlines
Able to lift boxes weighing over 10 pounds, move small furniture, bend, reach above head to retrieve and replace objects from shelves, and walk/stand up to 50% of work time
Graphic design training in Indesign a plus
Requires flexibility and adaptability in a competitive business and professional environment. Non-standard hours occasionally required to accommodate department event schedules
