JOB SUMMARY: Under the direction of the Bookstore Manager, the Accounting Clerk and Marketing Specialist has primary responsibility for all accounts payable/receivable functions in the Bookstore, responsibility for the timely payment of all bills and the reconciliation of all accounts information, and insures the smooth running of this area by properly maintaining files and monitoring processes. The position also participates in all aspects of the Bookstore's operation, including, but not limited to: cash register operation, customer service, and pre-se and receiving. Generally, this position will exercise independent judgment within specific guidelines and standards, but will seek advice from the Manager or other staff as needed.
*This is a non-exempt (hourly) position, 35 hpw/52 wpy*
DUTIES AND RESPONSIBILITIES:
- Process all accounts payable for timely payment.
- Verify all invoices for proper payment.
- Audit Vendor Statements and reconcile any discrepancies.
- Check accuracy of invoice extensions and calculate retail values and discounts.
- Call and pay credit card invoices.
- Submit RFP's to Manager for payment.
- Work with vendors to resolve discrepancies.
- Alphabetize and file account information.
- Monitor the returns processes for proper crediting of accounts receivable from vendors.
- Maintain files of credits due and follows up with vendors with discrepancies.
- Verify proper crediting and makes certain that credits are used in a timely manner.
- End Of Month Procedures and Inventory Control
- Prepare month end reports and assist in closing cycle duties, monthly and annually.
- Coordinate department level inventories on a quarterly basis and assist the store manager in an annual storewide inventory.
- Review inventory reports quarterly to ensure a more accurate year-end inventory.
- Maintain stock adjustments
- Monitor, Audit, and train in all cash-control and credit card functions.
- Monitor and maintain change fund.
- Prepare and reconcile of daily deposit records, including credit card settlement.
- Prepare and process purchase orders for equipment and services.
- Maintain and audit gift card sales
- Manage all store social media marketing programs including but not limited to Facebook, Twitter, Instagram, and new emerging platforms to advertise products to the public and connect with the campus community.
- Create a wide range of graphics and layouts for advertisements with software such as Adobe Photoshop & Microsoft Publisher including campus flyers, digital ads, and product photos/videos.
- Maintaining and expanding the bookstore website using HTML website editing software to ensure information, images, product, and ads stay up to date.
- Tracks online trends by analyzing website and social media analytics.
- Serve as a point of contact and coordinates with outside departments to ensure quality-marketing materials are portrayed to the public including Prism RBS (Web platform provider), campus departments including Marketing & Print/Mail as well as other colleagues as necessary.
- Research and reviews articles on industry and marketing trends to ensure high quality and top-performing posts/ads in an effort to expand business, both online and in-store.
- Coordinate student-marketing leaders.
- Participate in opening and closing rotation with other core staff.
- Recommend procedures for streamlining cash processing procedures; assists in the development and implementation of bookstore policies and procedures.
- Assist in the daily operation of the bookstore at cash register, with customer service or as requested by supervisor.
- Increased register time at peak times, including but not limited to the beginning and end of semester and signature campus events.
- Handle office duties including but not limited to answering and routing phone calls, responding to emails and data entry.
- Assist with customer account maintenance to include opening, updating and closing of accounts.
- Detail-oriented and organized approach to work, strong analytical and investigative skills and the ability to perform detailed work with extreme accuracy.
- Effective time management skills and the ability to prioritize tasks.
- High level of organizational ability.
- Excellent communication skills and interpersonal skills.
- Ability and desire to provide outstanding customer service with enthusiasm and energy.
- All other duties as assigned.
Prerequisites MINIMUM EDUCATION/EXPERIENCE/QUALIFICATIONS:
- Two years of general accounts payable experience in a business setting.
- Possess strong, demonstrable skills in the use of MS Word and MS Excel software and Google Docs.
- Proven ability to interact with customers, subordinates, and peers in a professional, courteous and tactful manner.
- Dedication to continued process and efficiency improvement and use of technology.
- Communicate, both orally and in writing, at a high level of skill.
PREFERRED EDUCATION/EXPERIENCE/QUALIFICATIONS:
- Bachelors degree
- Experience as a business or accounting manager in a college bookstore environment
- Possess strong, demonstrable skills in the use of Adobe Photoshop, Microsoft Publisher, and HTML website editing software
- Working knowledge of WinPrism ICS or comparable inventory control systems.
WORKING ENVIRONMENT:
- Depending upon bookstore and campus needs, work some weekends, holidays or other shifts at key times.
- Ability to sit for extended periods.
- Ability to remain in a stationary position for periods.
- Ability to reach, stoop, and lift on a frequent basis.
- Occasionally lift and move up to 50 pounds.
- Must be able to climb up and down ladders, lift a full carton of books, and should meet the other normal physical requirements of retail receiving, stocking and customer service.
